In the event a conference registrant decides to cancel attendance at a Chapter conference, requests for reimbursement of the conference registration fee and other conference payments paid by the registrant may be sent by email to treasurer@msswana.org. The Chapter will reimburse the registrant in accordance with the following policy:

If the reimbursement request is received from the registrant by e-mail or telephone call to a current Chapter officer:

  • Fourteen (14) or more days prior to the first day of the conference, the registrant will be sent by the Chapter reimbursement of 100 percent of the conference registration fee and event payments paid by the registrant.
  • Between thirteen (13) and seven (7) days prior to the first day of the conference, the registrant will be sent by the Chapter reimbursement of 50 percent of the conference registration fee and event payments paid by the registrant.
  • Less than seven (7) days prior to the first day of the conference, the registrant will NOT be entitled to receive any reimbursement of the conference registration fee and event payments paid by the registrant.

All reimbursements made by the Chapter consistent with the above will be in the form of a voucher signed by the current Chapter Treasurer and one other Chapter officer. The voucher will be sent to the registrant within fourteen (14) days after the last day of the conference by regular U.S. mail service with return receipt requested and will be usable by the registrant only for the next conference held by the SWANA Magnolia Chapter within a one-year period of time calculated from the first day of the conference for which the voucher has been provided. It will be the sole responsibility of the registrant receiving the voucher to request voucher credit. The Chapter Board of Directors maintains the discretion to implement this policy as necessary based on the conditions of the cancellation or reimbursement request.
